Introduction to Document
Sharing

The Document Sharing Module

The document-sharing module is designed to allow you to share documents and files with other members of the workgroup for discussion, review and updating. Once the documents are uploaded ( transferred from your PC to the encompass system ) to encompass, users can then link the document to other modules of encompass such as property management reports, the geographic information system or online discussions.

When adding documents you and other users can create a custom folder structure to suit your projects and organise your data and information to suit each individual project. You can also specify which available users can access your documents, so if you have a large workgroup working on a project you can specify which of those individuals can access each of your documents.

Benefits of the Document Sharing module

  • Make information more accessible, so that any member of the workgroup has access to all the information for the project.
  • Improve communications within workgroups.
  • Enable users to work remotely, by hosting all the project information online users can access all the documents and files in the same way whether they are in the office, working from home, on site, or even on the move.
  • Create a culture of knowledge sharing; encourage users to share their information and knowledge so the workgroup collectively becomes better informed.
  • Prevent multiple copies of the same document being edited simultaneously.
  • Add value to your work by making it available to the rest of the workgroup
