Document Search

1. From the company home page (Fig 17), click the Document Share button.

2. The Document Explorer will show all documents for the current company at a root
level (Fig 18).

3. Click the Document Search menu item.The following search form will load (Fig 19).

4. Enter your search terms in the fields provided and click search.

Enter values into more than one field to increase the chance of finding matching documents.

By default the search will return documents that match any of the criteria specified. For example, if you enter "lease" in the filename and description fields the search will match any documents that contain the string "lease" in the file name OR in the description.

Use the "match all the criteria" option to help find specific documents.

Selecting the "match all the criteria" option will limit the documents matched to those that meet all the specified criteria. For example, if you enter "lease" in the filename and description fields the search will only match documents that contain the string "lease" in the file name AND in the description.

Use the text field to search the content of text documents.

Search keywords entered into the text field are used to search the contents of text files. This is a very powerful tool as it allows you to find documents relating to a subject even if the filename and description don't explicitly refer to the subject. The text search only works on text documents, currently defined as files with the extensions: .doc, .htm, .html, .pdf, .pps, .ppt, .rtf, .txt and .xls.

If you use the text search it will not find the text in documents with any other extension.



 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

Working with Search Results

The search results show the total amount of documents that matches your search criteria (top right). The folder and filename, version number, size, author, and creation date is listed for each document (Fig 20).

1.Click the filename to view document details.

You can sort the search results by Name, Size, Author or Date, simply click on the heading you want to sort by.
